# Using the Calendar

> Schedule meetings, hearings, site visits, and other events on the Arkata Calendar.

# Using the Calendar

The Calendar is where you plan and view your firm's events — board meetings, hearings, appeals, client meetings, site visits, leave, and anything else. Open it from the **Calendar** entry in the sidebar.

## Views

Switch between four views using the control at the top right:

* **Month**: the full month at a glance. Click any day to start a new event on that date. Busy days collapse extra events into a **+N more** link that opens that day.
* **Week**: a seven-day time grid. Click an empty slot to start creating an event at that time.
* **Day**: a single day's time grid, with the same click-to-create.
* **Agenda**: everything coming up in the next three months, in one list. Click any row to expand its details, then Edit or Delete.

Use the arrows to move between periods and **Today** to jump back to the current date. Agenda always starts from today, so it has no arrows and no Today button. The **All types** filter narrows the calendar to a single event type.

## Creating an event

1. Click **New Event** (or click a time slot in Day or Week view)
2. Fill in:
   * **Title** (required): What the event is
   * **Type**: Board Meeting, Hearing, Appeal, Client Meeting, Site Visit, Leave, or Other
   * **Status**: Scheduled, Completed, or Cancelled
   * **All day**: Toggle for events without a specific time
   * **Date and time**: Start and end
   * **Location**: Where it takes place
   * **Link to**: Optionally tie the event to a project or to a client
   * **Attendees**: Team members involved
   * **Description**: Any extra detail
3. Save the event

## Event types

| Type               | Typical use                         |
| ------------------ | ----------------------------------- |
| **Board Meeting**  | Planning board sittings             |
| **Hearing**        | Tribunal or authority hearings      |
| **Appeal**         | Appeal proceedings                  |
| **Client Meeting** | Meetings with a client              |
| **Site Visit**     | Visits to a project site            |
| **Leave**          | Time off                            |
| **Other**          | Anything that doesn't fit the above |

## Event statuses

An event is always in one of three states: **Scheduled**, **Completed**, or **Cancelled**. You can move freely between them at any time.

## All-day events

Turn on **All day** for things like leave or a full-day site visit. All-day events show in a separate lane above the timed grid in Day and Week views, and can span more than one day.

## Linking to a project or a client

Linking is optional, and you can link an event either way:

1. In the event window, find **Link to**
2. Choose **Project** or **Client**
3. Search for the one you want and pick it

An event is linked to one or the other, not both. Switching between Project and Client clears whatever you picked before.

Once linked, the event shows the project or client name, and you can jump straight to that project or client from the event's detail panel.

## Seeing events on projects and clients

Linked events also show up where the work lives, so you do not have to go looking for them:

* **On a project**: open the project and go to the **Tasks and Events** tab. Events for that project are listed above the tasks.
* **On a client**: open the client and scroll to **Events**. You get events linked straight to that client, plus events on any of their projects. The panel is hidden when there is nothing to show.

Click any row to see the full details, and delete it from there if you need to.

  Events are created and edited on the Calendar. The panels on projects and clients are there for viewing, so head back to the Calendar to make changes.
